We take your data seriously - here's how we handle it

Last Updated: October 27, 2025
Effective as of this date for all members and visitors

Look, we're not gonna hit you with a bunch of legal jargon here. This is straight talk about what info we collect, why we need it, and how we keep it safe. Training at Runev Ex Continuum means trusting us with your goals and your data - we don't take that lightly.

When you sign up to train with us, we're gonna need some basics to keep things running smooth and make sure you're getting the most out of your workouts.

  • Personal Details: Name, email, phone number, birthday - pretty standard stuff so we can reach you and track your membership.
  • Health Info: Medical history, injuries, fitness goals, dietary restrictions. Yeah, this one's important. We need to know if you've got a bum shoulder or if you're allergic to certain supplements before we program your training.
  • Payment Data: Credit card info, billing address - processed through secure third-party services. We don't actually store your full card details on our end.
  • Performance Metrics: Workout logs, PR's, body composition tracking, attendance records. How else are we gonna know if you're crushing those goals?
  • Photos & Videos: Sometimes we take pics or videos during sessions for form checks or social media (with your permission, always).
  • Website Usage: IP address, browser type, pages visited - basic analytics to see what's working on our site.

We're not selling your data to random companies or spamming you with nonsense. Here's what we actually do with your info:

  • Programming Your Training: Designing workouts that match your goals, experience level, and any limitations you've got.
  • Tracking Progress: Monitoring your gains, keeping records of your lifts, helping you see how far you've come.
  • Safety First: Making sure our coaches know about any health concerns before you start throwing weight around.
  • Billing & Admin: Processing payments, managing your membership, sending receipts.
  • Communication: Hitting you up about class schedules, facility updates, special events, or when your membership's about to renew.
  • Nutrition Support: If you're working with our nutrition team, they'll use your data to build meal plans and track your dietary progress.
  • Improving Our Services: Analyzing trends to figure out what programs are working and what needs tweaking.
  • Marketing: Occasionally sending out info about new programs or promotions - but you can opt out anytime.

Security's not just about locking the doors at night. We've got solid measures in place to keep your personal info locked down:

  • Encrypted Storage: All sensitive data's encrypted both in transit and at rest. That means even if someone tried to intercept it, they'd just see gibberish.
  • Secure Payment Processing: We use PCI-compliant payment processors - industry standard stuff that banks trust.
  • Limited Access: Only staff who need your info to do their job can access it. Your coach? Yes. The front desk person? Only what they need for check-in.
  • Regular Updates: We keep our systems patched and up-to-date to protect against new security threats.
  • Physical Security: Paper records (yeah, we still have some) are locked up tight in our office.
  • Staff Training: Everyone on our team knows the deal about protecting member privacy.

Real talk though - no system's 100% foolproof. We do our best, but if there's ever a breach, we'll let you know ASAP and help you figure out next steps.

We're not in the business of selling your data. But there are a few situations where we might share info:

  • Service Providers: Payment processors, email platforms, scheduling software - the tools we use to run the gym. They only get what they need to provide their service.
  • Health Professionals: If you've signed a waiver allowing us to communicate with your doctor or physiotherapist, we might share relevant training info.
  • Legal Requirements: If the law says we gotta hand over records (court order, health inspection, etc.), we'll comply.
  • Emergency Situations: If you're injured and need medical attention, we'll share necessary health info with paramedics or hospital staff.
  • Business Transfers: If we ever sell the gym or merge with another facility, your membership data would transfer to the new owners.

What we DON'T do: Sell your email to marketing lists, share your workout data with third parties for their profit, or post your info publicly without permission.

Yeah, we use cookies - not the protein kind, unfortunately. These are little data files that help our website work better:

  • Essential Cookies: Keep you logged in, remember your cart, basic stuff the site needs to function.
  • Analytics Cookies: Help us see which pages people visit most, where folks are dropping off, so we can make the site better.
  • Marketing Cookies: Track if you came from an ad, help us figure out what's working in our marketing.

You can disable cookies in your browser settings, but heads up - some parts of the site might not work as smoothly. Most browsers let you choose which types of cookies you're cool with.

It's your data, and you've got rights when it comes to how we handle it. Here's what you can do:

  • Access Your Info: Wanna see what data we've got on you? Just ask. We'll get you a copy within a reasonable timeframe.
  • Correct Mistakes: If something's wrong in your profile or records, let us know and we'll fix it.
  • Delete Your Data: When you cancel your membership, you can request we delete your info. We'll keep some stuff for legal/financial reasons (like tax records), but we'll wipe what we can.
  • Opt Out of Marketing: Don't wanna hear about our new programs? No problem. Hit the unsubscribe button in any email or tell us directly.
  • Withdraw Consent: If you said it's cool to use your photos and changed your mind, just let us know and we'll stop.
  • Data Portability: Want to take your workout history to another gym? We can export your data in a usable format.

To exercise any of these rights, shoot us an email at info@runevexcontinuum.info or swing by the front desk.

We occasionally train athletes under 18, but we're extra careful with their info. Here's the deal:

  • Anyone under 18 needs a parent or guardian to sign their membership agreement and consent forms.
  • We collect the same basic info as adults, but we get parental permission first.
  • Parents can access, review, and request deletion of their kid's data anytime.
  • We don't use minors' info for marketing purposes without explicit parental consent.
  • Photos or videos of youth athletes are only used with clear permission from parents.

If you're under 18 and reading this, awesome - but make sure your parents know you're signing up and they're cool with everything.

We don't keep your stuff forever. Here's roughly how long we hold onto different types of data:

  • Active Membership Records: As long as you're training with us, plus a bit after to handle any last transactions or questions.
  • Financial Records: Seven years - that's what Canadian tax law requires for business records.
  • Health & Waiver Forms: Usually kept for 7 years after your last visit for liability protection.
  • Workout Logs: Available while you're a member, then archived. If you want 'em deleted when you leave, just say so.
  • Marketing Lists: Until you unsubscribe or we clean up inactive contacts (usually every couple years).
  • Video Footage: Security cameras are typically overwritten every 30 days unless there's an incident we need to review.

After retention periods end, we securely delete or destroy the data. No point keeping stuff we don't need.

We're based in Vancouver, BC, so Canadian privacy laws apply to how we handle your info - specifically PIPEDA (Personal Information Protection and Electronic Documents Act) and BC's privacy legislation.

Some of the tools we use (like cloud storage or email services) might store data on servers outside Canada. When that happens, your data could be subject to foreign laws - including potential access by government agencies in those countries. We only work with reputable providers who meet Canadian privacy standards, though.

If you're visiting from outside Canada and train with us, the same privacy protections apply. Your data's handled according to Canadian law regardless of where you're from.

Look, things change. Laws get updated, we add new services, technology evolves. When we need to update this privacy policy, here's how we'll handle it:

  • We'll post the updated version on our website with a new "Last Updated" date at the top.
  • If it's a major change that affects how we use your data, we'll send you an email heads-up.
  • For smaller tweaks (like clarifying wording or updating contact info), we'll just update the page.
  • Continuing to use our services after changes means you're cool with the new terms.

We recommend checking this page once in a while to stay in the loop. Not exactly thrilling reading, but it's worth knowing what's what.
